The Associate Director of Academic Support Services for the Graduate College (GC) and the College of Professional Studies (CPS) of Siena Heights University assists and oversees various responsibilities related to advising and registration, as well as administrative, project, and executive support for GC and CPS.
The position provides administrative services that includes support to the Dean of GC and CPS, general office management, public/community relations, faculty, staff, and student affairs. Provides support to the Dean, Associate Dean, and Senior Director in problem solving, project planning and management, and development and execution of goals and objectives. Provides support to faculty related to academic programming including assistance with accreditation materials and applications, and other projects, as determined. Provides support to faculty and the technology trainer related to conversion of courses to web-enhanced courses. Ensures that course grades are posted to the system. Conducts follow-up with faculty, where needed. Co-coordinates the transcript evaluation process for CPS students. Prepares graduation audit and prints corresponding transcripts for GC Program Directors. Prepares and mails graduation audit letters to students, and submits copies to Registrar’s Office. Maintains inactive student files via a database tracking system for targeted mailings and reporting. Scans files into ImageNow System.
Advises enrollment team regarding course equivalencies, appropriate CLEP and alternative forms of credit suitable for transferability.
Addresses advising concerns related to individual student cases with Senior Director.
o Develops, updates, and maintains advising tools, i.e.—advising pages, notebooks, web pages, and a library of training videos and resources.
o Communicates with enrollment and advising specialists and is available to answer questions and provide guidance to advisors when needed.
o Develops, implements, and maintains Guided Pathways for community college partners. Also provide appropriate training to advisors related to Guided Pathways.
o Provides support in the understanding and interpretation of University policies and procedures, as appropriate.
Coordinates the process and maintenance of ASL Honors for CPS students. Oversees and administers the daily activities of the Dean’s office. Ensures effective operation by responding to requests for information from faculty and staff. Acts as a liaison between staff and faculty, as well as campus offices. Organizes and facilitates meetings, conferences, and other special events. Composes, edits, and posts minutes for various meetings. Develops and maintains liaison relationships with internal departments. Serves as a member of the following committees/teams: Graduate Council, Academic Standards Committee, Curriculum Committee, and external advisory committees, such as MACRAO and MIACADA. Provide appropriate FERPA training related to confidential advising interactions. Able to receive Financial Aid documents on behalf of the University. Represents the college and the university at various events and other duties. Participates in meetings, where needed, representing the GC/CPS Dean. Other duties within scope of responsibilities as defined by supervisor.
Master’s degree preferred, and a minimum of three (3) years leadership, advising and registration experience, and academic & LMS experience in a higher education setting. Experience with administrative oversight and training preferred. Demonstrated knowledge of higher education practices and trends relative to non-traditional and adult students seeking graduate and/or undergraduate degree completion. Management and administrative skills typically acquired through experience in designing, implementing, and supervising systems, projects and people. Ability to understand and react appropriately to requests from a variety of constituencies, such as students, prospective students, staff, faculty and the general public. Excellent written and verbal communication skills, in interpersonal and group interactions, including email and University reports. Ability to use computerized work processing programs. Must be able to use communication technology effectively and be a proficient user of computer software. Ability to travel periodically, including but not limited to off-campus program sites, community meetings, etc. Ability to perform aspects of the job during evening and weekend hours on an occasional basis.
