The assistant program coordinator assumes primary responsibility for administering VIPP short-term professional training programs. The assistant program coordinator is responsible for researching, designing and coordinating short-term training workshops by working with relevant MSU colleges and centers, and utilizing professional resources available in Michigan. The assistant program coordinator is also responsible for managing open-enrollment long-term programs by providing admission and settlement support during the application and arrival stage. Further, the assistant program coordinator will provide support to VIPP academic and culture activities and various events.
Essential Duties & Responsibilities:
Participant Support (20%)
Provide detailed consultation to new applicants and guide their application process on OpenSiS.
Prepare all required documents at a high standard and share with VIPP and OISS for admission and visa. Keep all participant documents up to date on the shared drive
Provide initial settlement service including housing and health insurance; orientation and ongoing living support by liaising with OISS, housing office, and relevant MSU academic units, etc. to ensure participants’ positive experience and satisfaction
Program Development & Management (50%)
Develop short-term intensive workshop proposals to meet sponsor requirements, which include fee-for-service program and U.S. federal agency funded program
Deliver workshops by designing schedules; offering orientation; coordinating seminars, meetings, panel discussions and field trips; and arranging all logistics with the support of the office assistance such as hotel, meals, transportation, preparing program handouts, classroom facility, beverage etc; and host international visitors
Identify and secure MSU collaborative unit and individual faculty members for programming by various outreach and networking activities
Actively pursue new programming opportunities to increase VIPP program enrollment by working with current participants, alumni and their sponsors
Work closely with the Director and Fiscal Officer on budgets (budgets setting, expenditure review and analysis) to ensure financial viability of all programs
Create and maintain program resource information to be filed on the VIPP resource book
Supervise and train student assistants for delivery of programming
Provide assistance and support, as needed, with all programming in VIPP
Communication and Outreach (15%)
Support VIPP Communication team to generate, circulate and promote VIPP program information, news, achievements and other relevant material
Intentionally and actively identify and secure resource for VIPP programming such as faculty expertise, other individuals, government offices, NGOs, private companies, etc.
Maintain regular effective communication with alumni, MSU partners and international partners, etc.
Functional Support (10%)
Support one or more strategic priority areas/functions within VIPP (e.g., Diverse value-add programming, 360-degrees service, and effective marketing and communication)
Professional Development (5%)
Continue developing professional skills by actively looking for an opportunity; it may include taking relevant MSU offered training, taking online courses, attending relevant conferences necessary/appropriate/fiscally feasible
Contribute to the field of international professional training and development, which may include producing scholarly publications/blog, conducting outcomes assessment research, etc.
A bachelors degree;
three years of professional work experience in an international education setting;
highly organized and highly motivated with excellent written and oral communication skills
experience living, working or studying abroad;
proficiency in a language other than English
