The Academic Program Coordinator will provide the first line of communication within the Online Master of Science in Food Safety (MSFS) degree program. Primary responsibilities include management of all inquiries about the degree, coordination of the MSFS application process from initiation to final admission (three semesters per year), and maintenance of the program’s student and alumni database. This position will also share in academic advising responsibilities. Travel to national conferences and tradeshows in support or program recruiting efforts will be required several times per year. This position is 75% Admissions and 25% Advising.
Duties and Responsibilities Include:
First responder to all inquiries, providing detailed and accurate information about the program and application requirements/procedures. Primary medium is e-mail, but also includes telephone and in-person communication. Inquiries are from the public and represent potential students and current applicants, but may also come from current students, alumni and faculty; Coordinate and facilitate the application process from initial contact to final processing by the MSU Office of Admissions. This requires current and accurate knowledge of admission policies and procedures for the University, the Graduate School and the Online MS in Food Safety degree program. Applications are processed using MSU’s Graduate Admissions Management System (GAMS); Develop and maintain updated informational materials related to admissions requirements and procedures (e.g.: PDF information sheets, e-mail marketing announcements, and content for the program website, student handbook and some marketing materials); Manage program contacts and student historical data using Excel and SQL relational database. Produce updated reports and PowerPoint presentations as requested; Assist in representing the program at student recruiting activities several times per year (includes state and national conferences, exhibitions, and webinars); Assist with student advising and support including use of Registrar forms, SIS, Grad Info and/or Grad Plan as well as in-house advising documents; Manage overrides (course permission codes) for current graduate and Lifelong students; Manage and update program course scheduling via the MSU Registrar; Assist with student forms related to academic policies and procedures; Assist with organizing commencement receptions; Perform and assist with other duties as assigned.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate's degree in business, education, higher education, psychology, business or a related field which corresponds to the area of employment; one to three years of related and progressively more responsible or expansive work experience in university/college/academic admissions or related administrative position; experience working with diverse populations; experience and functional knowledge of database software; or an equivalent combination of education and experience.
Familiarity working with R/O Forms, GAMS, SIS, Grad Info and Grad Plan; Knowledge of MSU’s graduate admissions policies and procedures; Experience with database management; Familiarity with student advising tools and forms through the Registrar; Experience using Adobe Creative Cloud products. Proficiency in using Microsoft Office products; Comfortable working within a team environment; detail-oriented with demonstrated ability for accuracy, thoroughness, and organization; ability to problem-solve and make decisions independently; excellence in written and verbal communication; ability to develop and maintain professional relationships in all aspects of the position; Ability to travel nationally several times per year.
