Essential Functions: Job PurposeReporting to the Vice President, Development & Alumni Affairs, the Senior Director, Special Events and Services oversees the operations of the Special Events and Services department. Serve as a key thought leader by directing the planning, design and execution of strategies, objectives and activities for university special events. Works closely with university leadership, the WSU Board of Governors and internal and external partners and constituents. Lead the development, planning, management and implementation of creative and progressive special events and services strategies, objectives and activities. Develop annual expense and revenue budget projections for department and events. Establish metrics to monitor and evaluate event operations, results and costs. Prepare ongoing event progress reports and analyses; identify areas of opportunity and lead improvement initiatives.Oversee all aspects of events held on campus and university events held off campus. Oversee and account for all details related to special events including, but not limited to, mailing lists, collateral materials, registration management, seating arrangements, room set up, coordination of catering, linens, floral, furniture rental and other decor, audio visual, coordination of speaker travel arrangements, program agenda and scripts, gifts and mementos, expenses and honorarium.Oversee the execution of all event-related vendor contracts in accordance with university policies and procedures. Manage vendor relationships in order to stay abreast of innovative ideas and best practices for the university. Build new relationships and continue to strengthen existing relationships with outside vendors.Provide leadership to staff. Cultivate a strong, team-oriented culture of accountability, with a focus on creating best-in-class experiences for event attendees and internal and external partners. Direct, manage and oversee staff activities; establish performance goals and expectations; delegate work assignments. Responsible for staff hiring, mentoring, coaching, counseling, evaluating performance and establishing development plans for future success. Plan for future staffing needs. Provide timely communications to staff. Adhere to the confidentiality and data usage policy for the division.Perform other related duties.
Qualifications: MINIMUM QUALIFICATIONSEducation Bachelor's degree in marketing, hospitality, sales, business or related fields preferred. Certified Professional in Catering and Events (CPCE) or Certified Meeting Professional (CMP) preferred.Experience Minimum seven years' progressively responsible experience in planning and execution of high profile events for development/fundraising organizations, large universities and/or non-profit or a corporate/businesses. Knowledge, Skills and AbilitiesCOMMUNICATIONS SKILLS: Ability to communicate clearly, concisely and professionally both orally and in writing. Strong interpersonal skills are a must. PLANNING AND ORGANIZATION: Ability to manage several projects simultaneously, prioritize and plan work activities while meeting respective deadlines. Strong organizational and time-management skills. Strong negotiation skills.ANALYTICAL AND PRESENTATION SKILLS: Ability to evaluate, interpret, and present complex information effectively in professionally prepared documents or presentations. Must possess a demonstrated attention to detail in order to achieve a high degree of accuracy.TECHNICAL SKILLS: Proficient in the use of complex administrative systems software, preferably in the higher education environment. Proficient with Microsoft Office suite, especially Word and Excel. LEADERSHIPS/TEAMWORK SKILLS: Expert knowledge of leadership, management, and teamwork principles, and demonstrated ability to effectively apply principles to support and advance organizational objectives. Proven ability to appropriately hire, manage performance of, and develop assigned staff. Demonstrated capability to form and effectively facilitate organization-wide multidisciplinary teams, and to gain cooperation and buy-in from staff, stakeholders, and other entities in absence of formal authority. Demonstrated ability to introduce and lead large-scale change through assigned work groups and organization as a whole. This position requires a high level of commitment and enthusiasm. Due to evening and weekend events and meetings, incumbent must be willing to work extended hours as needed.
