Essential Functions: Position PurposeProvide executive-level assistance to the associate provost for inclusive workforce development and director of STEM learning innovation and team. Perform administrative tasks such as managing calendars, booking travel, scheduling facilities and equipment and managing budgets. Proactively anticipate needs and drive improvements to build capacity for the team. Work closely with the leadership team and other administrative professionals to provide support for the department. Ensure that the day-to-day related operations are run both smoothly and efficiently.ESSENTIAL FUNCTIONSManage the day-to-day office functions including ordering supplies, reviewing and prioritizing in and outgoing mail, processing and tracking invoices and purchase orders, and maintaining files and administrative records. Welcome guests and customers by greeting them, in person or on the telephone, answering or directing inquiries. Serve as an information source to faculty, staff, students and the public; answer questions, provide information and resolve routine problems regarding operations and services. Provide complex calendar management, exercising discretion and judgment to analyze and appropriately prioritize complicated and challenging schedules; respond to frequent changes in schedules; set priorities. Prepare itineraries, agenda packets and travel arrangements. Create and maintain travel folders from start to finish of event. Serve as delegate or proxy for executive when appropriate.Prepare memos, letters, meeting agendas, summary notes, reports, spreadsheets, charts, and presentations. Handle highly sensitive and confidential information. Manage physical and electronic reference system to provide historical accuracy and to promote collaboration with the executive and their team. Coordinate and organize meetings and other events. Ensure that meetings and other events have appropriate locations, supplies, audio-visual equipment, and other needs met. Order supplies as needed for events, meetings, and day-to-day work.Track and help drive completion of key deliverables and follow up on outstanding items. Special project work as specified. Provide detailed reports and handle highly sensitive and confidential information.Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks, participating in professional organizations. Other duties as assigned.
Qualifications: MINIMUM QUALIFICATIONSEducation: High school completion (or GED)High school education or equivalent. Experience: Specialist (minimum 5 years of job-related experience) At least 5 years' relevant administrative support experience, preferably supporting an executive. KNOWLEDGE, SKILLS & ABILITIES REQUIREDStrong interpersonal skills and proven ability to build collaborative relationships. Excellent organization skills with the ability to organize and coordinate a diverse workload and complete multiple tasks within established and changing deadlines. Effective written and verbal communication skills. Ability to exercise initiative, diplomacy, discretion and confidentiality with a positive, service-oriented attitude. Professional presence. High level computer skill proficiency in Microsoft 2016, Outlook, PowerPoint, Concur, Adobe, EndNote, and Excel.
