The Department of Theater, Dance & Performance Studies is in the Division of Humanities in the College of Letters and Science. Its programs integrate undergraduate and graduate instruction with student participation in theater and dance performance. The Department enrolls 1100 students in its 55-65 classes and seminars each semester. There are approximately 150 majors and 150 minors in addition to 25-30 students pursuing a Ph.D. Approx. 300 students are enrolled per semester in courses that engage in participation in production as actors, builders, stage crew, stage managers, directors, choreographers, or designers.
The Department produces annually 4-6 shows; 2-4 workshop, or showcase productions; 8-12 Department produced events and lectures; and 8-12 additional activities (rentals/loans of venues and/or equipment, sponsorship of activities produced by other departments, studio loans to campus and non-campus entities, etc.). Department welcomes more than 8000 patrons to its events and productions annually.
The Department is responsible for three theaters - The Playhouse at Zellerbach Hall (285-551 seats), The Durham Studio Theater (135 seats), and Zellerbach Room 7-Black Box (64 seats) - three fully operating shops and associated spaces, significant storage and curatorial space, three dance studios, three acting studios, three design studios, additional classroom service space, a department library, and faculty and staff offices in both Dwinelle Hall and Zellerbach Hall.
Regional Shared Services Liaison and Customer Support:
Manage all departmental workflow related to Regional financial processing, ensuring that segregation of duties is clear, business processes are defined, and items requiring exceptional approvals or escalation to Regional supervisors are promptly and effectively resolved.
Provide support and guidance to department staff in both BFS and Cal Answers to maintain manageable workload, triage problems, and promote customer friendly tone in all communications.
Work with Regional service team to align targeted goals with department support received.
Train faculty and staff when changes in business practice warrant new department procedures, and create an effective teamwork environment.
Responsible for creating and updating department web resources related to Regional support.
Effectively address difficult and complex customer inquiries.
Recommend and implement quality customer service standards and procedures to various constituencies that include internal department clients, such as faculty and students, as well as external vendors.
Functions as a resource to faculty and staff on issues such as researching complex financial discrepancies, escalated customer service problems and vendor concerns.
Budget Operations and Financial Reporting:
Responsible for fiscal oversight of department's annual revenue including substantial summer sessions revenue, concurrent enrollment, prize income, Box Office revenues, Petty Cash; and expenses including, staff and faculty salaries, TAS, faculty start-up and retention commitments, faculty research, performance related expenses, and overall facilities support and premises conditioning (ongoing maintenance projects in theater/studio spaces).
Oversee daily financial activity, ensuring deficits are researched and corrected, as appropriate.
Responsible for creation of financial journals to correct erroneous transactions.
Create Direct-Retro transactions to transfer payroll as needed; ensure commitments from various courses for course relief are received and spent down.
Runs high-level CAL Answers reports using pivots, exporting data to Excel, and running reports for payroll inquiry. Prepare monthly reconciliation report for department Chair and Manager.
Work with APO Analyst/Office Manager on reconciling changes in payroll reports resulting from academic personnel actions.
Train TDPS Faculty in self-service opportunities in Cal Answers; specifically, PI Portfolio.
Manage all front-of-house expenses, performance budget, and facilities conditioning project budgets.
Prepare reports to Production Manager, Chair, Director, and Manager.
Negotiate Cal Performances Front of House expenses and follow invoice through payment remittance.
Prepare recharge documents related to costume, venue, and props rentals; follow from invoice to payment remittance.
Research and Analysis:
Utilizing professional fiduciary concepts, prepare recommendations for the reconciliation of TDPS budget plan to actuals. Review trends to determine where expenses are controllable (or moreso) so that budgets are adhered to.
Interpret finance and business policies such that TDPS can avoid non-compliance.
Maintain historical documentation, in keeping with University records retention policies.
Purge as needed.
Maintain Storage Map of TDPS records to easily locate necessary hard-copy records; maintain order and readiness of TDPS fiducuary records in the TV Room in Zellerbach Hall.
Participate fully in audit and review of all internal financial records.
Assists with ensuring that financial processing functions which may include Accounts Payable, Accounts Receivable, Cashiering and Collections (and concomitant use contracts for rentals) are performed with accuracy and that daily operations run smoothly.
Partner with Department Manager with fiscal close process for department funds.
Establish expertise in Cal Answers Reporting and provide resource knowledge to faculty as they migrate to more self-service activities, to include reconciliation of BEAR Funds, contract and grant funds, committee budgets, all funds with CF2s assigned to specific faculty/committees/initiatives.
Synthesize reports, using pivots, to reflect trends and make available to Department Chair and Manager.
Attends campus trainings to stay current with changes in processes and procedures. Also, take advantage of development opportunities to bolster personal/professional growth. Required Qualifications
Thorough knowledge of financial processes, policies and procedures.
Knowledge of financial data management and reporting systems
Must be proficient in use of Microsoft Office suite and common desktop/web applications.
Knowledge of principles and procedures involved in risk assessment and evaluating risks for likelihood and consequence.
Ability to utilize analytical skills and critical thinking to develop original ideas to solve problems.

This is an exempt, monthly paid position. Annual salary is commensurate with experience within the range of $60,000.00 - $72,000.00.
